Almost every international poultry project starts the same way. A buyer finds a catalogue — a manufacturer's website, a marketplace listing, a PDF of cage rows and incubator models — and sends the same message to a dozen companies: "I need equipment for 100,000 birds, please send your best price."
What comes back is a set of quotations that cannot be compared. One supplier priced tunnel ventilation for a 38 °C design day, another assumed natural ventilation. One included installation supervision, another did not. One quoted single-stage setters, another multi-stage. The prices differ by 40 percent and the buyer has no way to know whether that gap is commercial or technical.
The problem is not the catalogue. Catalogues are useful, and poultry equipment manufacturers — in China, Europe, Türkiye, India and elsewhere — publish increasingly detailed ones. The problem is that a listing describes a product, while a project has to survive a climate, a regulation, a grid, a water supply, a labour market, a biosecurity regime and fifteen years of spare-parts availability.

A quotable hatchery RFQ fixes eggs set per week, the bird type and breed programme, single-stage or multi-stage incubation, setter and hatcher capacity, the HVAC boundary (who supplies hatchery air handling, filtration and pressure regimes), egg storage and pre-warming, chick handling, sexing and vaccination, waste and hatchery-effluent handling, standby power, installation and commissioning scope, operator training, spare-parts and service terms, Incoterm and delivery window. Without those, offers are not comparable.
How do you choose poultry equipment suppliers for an international project?
Selection is based on demonstrable project capability, not on country or catalogue depth: whether the company manufactures or trades, whether its product range covers the scope, which export markets it has actually served, applicable certification, production capacity and realistic lead times, engineering support in your climate, installation and commissioning ability, and spare-parts and service response in your country. Price is compared last, after scope is identical.

What affects the cost and timeline of a poultry project?
Bird type and production model, target capacity, house geometry, climate and design temperatures, ventilation and cooling strategy, automation level, biosecurity requirements, energy and standby power, water quality and treatment, local regulation and import requirements, freight and duty, installation and commissioning scope, and training and spare-parts support. Two projects with the same bird count can differ by a factor of two once those are fixed.
1. Why poultry projects fail when procurement begins with a catalogue alone
A catalogue answers "what can I buy?" A project has to answer "what will still work in year eight?" Those are different questions, and starting with the first one quietly locks in answers to the second.
When a buyer sends bird numbers and asks for a price, every manufacturer fills the missing information with its own defaults — usually the defaults of its home market. A supplier used to temperate Europe assumes a different ventilation design day than one used to Gulf summers. A supplier used to reliable grid power assumes no standby generation. None of them are wrong; they are simply pricing different projects.
The damage shows up later: fans that cannot hold target air speed in the hottest week, a hatchery whose HVAC boundary nobody owned, cage rows that do not fit a building already poured, an import consignment held because the electrical certification does not match national code, and a supplier who quoted the lowest price because installation, commissioning and training were never in scope.

2. What a serious poultry or hatchery project actually requires
Before any supplier is contacted, a project needs a defensible answer — or an explicitly open item — on each of the following. Open items are acceptable; unnoticed open items are not.
- Production context: broiler grow-out, commercial layer, breeder, hatchery, processing, or a mixed integrated programme.
- Target capacity: birds placed per cycle or hens housed, eggs set per week for a hatchery, and the cycle or flock plan behind it.
- Country and climate: design summer and winter conditions, humidity, altitude and the extremes the ventilation must survive, not the annual average.
- Ventilation and climate control: tunnel, cross, natural or hybrid; cooling method; heating source; minimum ventilation strategy; controller and sensor specification.
- Feed and water systems: feeding line type, pan or chain, silo capacity, water source, quality, treatment and reserve.
- Biosecurity: site isolation, clean and dirty zoning, personnel flow, downtime between flocks, carcass and manure handling.
- Egg handling and incubation: collection, grading, storage, pre-warming, single-stage or multi-stage setters, hatchers, chick handling and transport.
- Processing where relevant: line speed, chilling method, effluent load and cold-chain interface.
- Energy and backup: connected load, standby generation, transfer behaviour, fuel logistics, and whether solar or hybrid can carry any part of the load.
- Automation: controller architecture, weighing, alarms, remote monitoring, data logging and integration with existing systems.
- Installation and commissioning: who supervises, who supplies local labour, what acceptance tests are contractual.
- Training, maintenance and spare parts: operator training scope, service response time, and guaranteed parts availability with lead times.
- Local regulation and import requirements: electrical and construction codes, environmental permits, veterinary registration, HS codes, duty and certification needed at customs.

6. What makes a poultry manufacturer project-ready
When a scope is clear, supplier evaluation becomes a short, factual exercise. These are the points a reviewer checks before a manufacturer is invited into an RFQ.
- Factory or trading company: who actually manufactures, and which parts of the scope are bought in.
- Product range: how much of the required scope is in-house versus subcontracted or sourced.
- Export markets: which countries the company has genuinely delivered to, with comparable climate or regulation.
- Certifications: those applicable to the scope and the destination market — electrical, construction, management-system or product certification as relevant.
- References: contactable projects of comparable segment and size, with year and country.
- Production capacity: current output versus the volume and schedule the project needs.
- Lead-time range: realistic manufacturing plus shipping windows, stated as a range rather than a best case.
- Engineering support: capacity to size for local design conditions and to issue drawings the buyer's civil contractor can build to.
- Installation and commissioning: direct supervision, a named local partner, or none — stated explicitly.
- Service and spare parts: response time, stocking policy and parts availability over the equipment's life.
7. What to do before you send anything to a supplier
If you are at the catalogue stage, the fastest useful move is not to collect more prices. It is to establish whether your project is defined well enough for prices to mean anything.
