Buyer guide — logistics & documents
Shipment & documentation: questions to ask before you commit
Price is only half of a poultry or egg supply decision. The questions below help you verify that a supply program can actually reach your market, clear your border, and arrive in the condition your customers expect. They are written as questions to ask a prospective supplier — not as claims about any supplier.
Export eligibility
- Is the producing establishment approved to export to my destination country?
- Which markets is the producer currently approved for, and can they share evidence?
- Are there species- or product-specific restrictions for my market (for example, regionalization measures)?
Health and certification documents
- Which health certificate template does my destination authority require, and can the producer's veterinarian authority issue it?
- If I require halal: which certifying body, and can I see the certificate scope and validity dates?
- What quality or food-safety certificates (for example HACCP-based schemes) does the facility hold, and what do they actually cover?
Cold chain and handling
- What temperature regime is maintained from packing to container loading, and how is it recorded?
- Who is responsible for the cold chain at each handover point?
- What is the product's remaining shelf life on arrival at my port under the proposed shipping schedule?
Freight and Incoterms
- Which Incoterm is being quoted, and what exactly does it include (inland freight, port handling, insurance)?
- Who books the reefer container or vessel space, and what happens to pricing if freight rates move?
- What are the typical document timelines — when will I receive the bill of lading, health certificate and packing list?
Labeling and packing compliance
- Can the producer meet my market's labeling rules — language, production and expiry dates, establishment number, storage instructions?
- What carton weight and palletization standard will be used, and can it match my warehouse or retail requirements?
- Are barcodes or retail-ready formats available if I need them?
Practical note
Requirements differ by destination market and change over time. Confirm the current import conditions with your destination authority or a licensed customs broker before finalizing a program — this page is a checklist of questions, not legal or regulatory advice.
